Scheduling & Appointments
Make booking easier for patients and your front desk
NextHealth CareIncluded in all three Care plans.
NXH Care appointments book a patient against a doctor’s published schedule. Reception chooses a free slot, and the doctor’s room comes from the schedule or a dated room allocation. A slot that is already taken is refused, including when two receptionists try at the same moment, and staff reschedule by dragging an appointment to another free slot. Patients book for themselves through the Patient portal add-on, which uses the same published slots.

What your team can do
- Book against the doctor’s published schedule, with working hours enforced.
- Block a doctor’s time for a period, with a reason.
- Apply the doctor’s room from the schedule or a dated room allocation.
- Refuse a booking for a slot that is already taken.
- Reschedule by dragging an appointment to another free slot.
Give reception a schedule it can work with
Booking is more than finding an empty cell in a calendar. The doctor has to be working, the room has to be right and the slot has to be one the clinic can run. Otherwise the front desk resolves the conflict after the patient has made plans.
Rules staff can evaluate
- Sessions. Availability comes from each doctor’s published schedule. A slot outside the doctor’s working hours cannot be booked, and an administrator can block a doctor’s time for a period with a reason.
- Rooms. The room comes from the doctor’s schedule, or from a dated room allocation that takes precedence. A doctor holds one allocation at a time for a period, and rooms are restricted to the doctor’s specialty unless a permitted user overrides it. The room follows the doctor. It is not booked as a separate resource.
- Conflicts. A slot that is already taken is refused, even when two receptionists try at the same moment. The second is asked to pick another slot.
- Changes. Staff reschedule by dragging an appointment to another free slot, which releases the old one. A cancelled booking keeps its history, and once the consultation has started it can no longer be cancelled. A no-show can be marked only while the booking is still expected.
Staff booking and patient self-booking
This module is the staff scheduling workflow on the Care calendar. Patients book for themselves through the Patient portal add-on, which offers the same published slots at facilities of the patient’s group, up to 14 days ahead. See Patient Portal.
Illustrative example: a conflict and a reschedule
This example uses synthetic data. A receptionist books a synthetic patient, Rana Aziz, with Dr Faisal Noor at 10:30. A second receptionist tries the same slot a moment later, and Care refuses it and asks for another. Later Rana asks to move her visit. The receptionist drags the appointment to a free slot at 14:00, and the 10:30 slot becomes available again.
