Check-in & Payments
Keep patient arrivals and checkout organised
NextHealth CareIncluded in all three Care plans.
NXH Care front desk tools take a patient from arrival to checkout. A booked patient is checked in through a guided checklist covering identity, insurance eligibility, consents and copay, and a walk-in is added straight to the queue. Each visit receives a queue token, shown on a live board and a waiting room display. At checkout, a patient who still owes a balance is held until payment is recorded on the bill or a supervisor overrides with a reason. Charges and receipts sit in Billing.

What your team can do
- Check in a booked patient through a guided checklist, or add a walk-in straight to the queue.
- Confirm identity, insurance eligibility, consents and copay during check-in.
- Run a real-time eligibility check where the payer’s service is connected.
- Issue a queue token automatically after check-in.
- Follow arrivals on a live front-desk board and a waiting room display.
- Hold checkout while a balance is owed, with a supervisor override that records the reason.
See who has arrived, and who is ready to leave
Reception handles arrivals and departures at the same desk. Check-in prepares the visit before the patient reaches the clinician. Checkout confirms that the visit is finished and that any balance is settled or deliberately overridden.
What this module covers, and what Billing covers
This module covers arrival, the queue and checkout. Charges, payment recording, refunds, receipts and cashier shifts belong to Billing and charge capture, which is part of every Care plan. At checkout, the desk opens the patient’s bill to record the payment.
Illustrative example: a pre-booked arrival and a walk-in
This example uses synthetic data.
A pre-booked synthetic patient, Sara Example, arrives for her appointment. Reception opens the appointment, confirms her identity against the document on file, checks her insurance eligibility and consents, records the copay and Care issues a queue token. A synthetic walk-in, Daniel Sample, has no appointment, so reception selects the patient and the doctor or department and Care creates the visit and queues him at once. Both appear on the live board and the waiting room display. After her consultation Sara has no balance and is checked out. Daniel still owes a balance, so checkout is held until the payment is recorded on his bill, or a supervisor with the override permission continues and gives a reason.
