Assets and equipment
NextHealth FlowFlow Assets is sold separately
NXH Flow assets and equipment keeps maintenance information with the item it belongs to. The asset register holds maintenance schedules, calibration certificates and vendor service contracts. Each maintenance task has a due date and an assigned person or vendor, records when work started and finished, and can be verified by a user. Consumables are tracked by batch, and overdue and expiry flags show which dates to review. Servicing, calibration and decisions on whether equipment is safe to use stay with the facility’s responsible professionals.

What your team can do
- Maintain an asset register with the relevant maintenance schedules.
- Keep calibration certificates with the equipment they relate to.
- Record annual maintenance contracts with the relevant service vendors.
- Assign each maintenance task to a person or vendor, with a due date.
- Record when work started and finished, and who verified it.
- Track consumables by batch, with stock movements kept for review.
- Receive expiry alerts for calibrations, contracts and supporting documents.
Equipment decisions need current records beside the asset itself.
Keep equipment records ready for the next decision
A question about a calibration or service contract should begin with the equipment record. If the schedule, certificate and vendor agreement are stored separately, the biomedical team must gather them before it can decide what needs attention and discuss the next maintenance action.
NXH Flow keeps the asset register with maintenance schedules, calibration certificates and service contracts. Consumables and stock are tracked by batch, including movements. Expiry alerts help the team notice approaching dates for calibrations, contracts and documents before reviewing the supporting evidence.
Each maintenance task carries a due date and is assigned to a person or a service vendor. The assignee records when work started and finished, can note the cause found and the action taken, and a user can then verify the completed task. Overdue maintenance and calibration are flagged, so the team sees what needs attention without opening every record.
Illustrative example: an overdue maintenance task
This example uses synthetic data.
An infusion pump has a recurring preventive maintenance schedule. The next task is assigned to a biomedical technician and its due date passes, so Flow shows it as overdue. The technician starts the task, records the root cause and corrective action, and marks it complete. A supervisor verifies the task, and Flow stores who verified it and when. The calibration certificate and service contract stay on the same asset record.
Bring a sample asset, calibration certificate and maintenance agreement to the demonstration. Inspect the dates and related records, then follow a stock movement for a consumable if that is relevant to your facility. The software supports record management and reminders; it does not perform maintenance or certify equipment safety. Those decisions require the facility’s engineering process and the appropriate technical review.
