Fleet and contracts

NextHealth Flow

Flow Assets is sold separately

NXH Flow fleet and contracts keeps vehicle and maintenance records together. Each vehicle has its maintenance history and insurance on file, while overdue maintenance is flagged for attention. Vendor maintenance contracts are held with their dates and linked to the equipment they cover. Teams can review the record behind the next service or contract discussion, using the same Assets module that supports the wider equipment register rather than treating vehicles as a separate list outside the facility’s operational records.

What your team can do

  • Maintain a vehicle register with each item’s maintenance records.
  • Keep vehicle insurance information with the relevant vehicle record.
  • Flag overdue maintenance automatically for the team’s attention.
  • Record vendor maintenance contracts with their relevant agreement dates.
  • Link maintenance contracts to the equipment that they cover.
Why it is hard to do well

Vehicle records need the same attention as facility equipment.

Keep vehicle history and service agreements in view

Vehicles and service agreements can be easy to overlook when operational records focus only on equipment inside the building. The team still needs to find the maintenance history, insurance and relevant vendor dates before discussing a service or deciding which agreement covers an item.

NXH Flow keeps vehicle records with maintenance history and insurance. Overdue maintenance is flagged, while vendor maintenance contracts retain their dates and links to the equipment covered. These records sit within Flow Assets alongside the wider equipment management scope.

Illustrative example: a van and a service contract

This example uses synthetic data.

A facility registers a patient transport van with its insurance details and maintenance history. A service date passes without a recorded visit, so the van is flagged for overdue maintenance. Separately, the facility records a vendor maintenance contract for an air handling unit with its start and end dates and links it to that equipment, so the team can see which agreement covers it and when it ends.

Bring one vehicle and a representative maintenance contract to the demonstration. Review the history, insurance file and overdue flag, then inspect the contract dates and covered equipment. This module does not include tendering, purchase orders, supplier management or procurement approvals.
