Loyalty and referrals

NextHealth Engage

Part of the Campaigns and retention add-on

NXH Engage loyalty and referrals connects repeat business with recorded rewards. Points accrue on invoices, earning can increase through spend-based tiers, and clients redeem points at checkout. Referral links and QR codes give each client a way to introduce someone new. When a referred friend pays for a first visit, the referrer receives wallet credit, keeping the reward connected with a completed commercial event and giving the team a clear basis for explaining the client’s balance.

  5. Step 5

    Redeem

Use points within the checkout workflow

What your team can do

  • Accrue loyalty points on the money paid against recorded client invoices.
  • Use spend-based tiers to change the points earned.
  • Redeem the client’s loyalty points at checkout.
  • Provide referral links, QR codes and short codes for clients.
  • Credit the referrer’s wallet once the referred friend’s first paid visit qualifies.
  • Take points and referral credit back when the sale that earned them is refunded.
Why it is hard to do well

A reward needs a clear link to qualifying activity.

Give loyalty rewards a record your team can explain

A loyalty programme needs to be understandable at the front desk. The client wants to know what earned the points, what can be redeemed and how a referral reward was triggered.

How loyalty points work

  • The programme is optional for each branch. Nothing is earned until the branch sets its rules and switches it on: points per currency unit, what a point is worth, how long points last and how much of a sale points may pay.
  • Points are earned on the share of a paid invoice that was paid with money, for services, products, packages and memberships. Gift cards, top-ups and fees do not earn points, and points never earn points.
  • Tiers raise the earning rate once a client’s spend over the previous twelve months reaches a threshold the branch sets.
  • If the sale that earned points is refunded, those points are taken back. If a payment made with points is refunded, the points return, and any past their expiry date expire again.

How a referral reward works

Each client has a referral link, QR code and short code. A referral is recorded against the new client by link, code or staff member and is locked once set, so only a manager can change it. A client who is already paying cannot be given a referrer later. The referrer’s wallet credit is granted once, when the referred client’s first qualifying visit is paid: the first invoice that reaches paid, covers a service or package, and was paid at least partly with money rather than stored credit. If that visit is refunded, the unspent part of the credit is taken back, and the next paid visit can earn it again. The branch can also give the new client a welcome credit when the referral is recorded. The reward amount, and whether the programme runs, are set for each branch.

Programmes are the clinic’s own business decisions. Check the reward, expiry and terms against your policies and local requirements before launch.

Illustrative example: a referral from code to qualifying visit

This example uses synthetic data.

Rana, a made-up client, shares her referral code with her friend Tariq. When Tariq books, he enters the code and Engage records Rana as his referrer. His first visit is a facial paid by card. When that invoice reaches paid, Engage credits Rana’s wallet with the reward amount the branch has set. If the facial were refunded, Engage would take back whatever part of that credit she had not spent.

Common questions

  • Loyalty and referrals is part of the Campaigns and retention add-on for NXH Engage. It is selected alongside Engage core rather than included automatically in the core licence.

  • Points accrue on invoices and can be redeemed at checkout. Spend-based tiers can change earning levels within the loyalty programme configured for the clinic.

  • The referred client’s first qualifying visit. The first invoice that reaches paid, covers a service or package and was paid at least partly with money rather than stored credit earns the credit once. A refund of that visit takes back the unspent part.

  • Loyalty and referrals belongs to Campaigns and retention. Point of sale belongs to Billing and point of sale, so confirm the checkout scope alongside the reward workflow.

  • Points earned by a refunded sale are taken back, and referral credit from a refunded first visit is taken back to the extent it is unspent. If a payment made with points is refunded, the points return unless they have expired.
