Pharmacy & Inventory

Connect the prescription, the dispense and the stock record

NextHealth Care

Included in Care Hospitals; available as an add-on to Care Clinics and Care Clinics Pro.

NXH Care pharmacy dispenses against the electronic prescription and keeps the stock record beside it. A pharmacist verifies the prescription, chooses a batch and dispenses, and the movement is written to a ledger that records the batch, the quantity and who acted. Low and expiring stock is flagged, controlled drug movements can be reviewed by drug, and stock can be transferred between branches of the group. Dispensing is for prescriptions written in Care, and there is no retail checkout.

What your team can do

  • Verify each prescription before dispensing, or reject it back to the prescriber with a reason.
  • Dispense from a chosen batch, with the earliest expiry suggested first.
  • Record receipts, adjustments, dispenses and transfers in an append-only stock ledger.
  • Receive supplier purchase orders into batches, including partial deliveries.
  • Transfer stock between branches of the group with batch and expiry kept.
  • Flag low and expiring batches against reorder levels.
  • Review controlled drug movements by drug, with a running balance.

Keep dispensing connected to the medicines on your shelves

The pharmacy has to account for the medicine prescribed and the stock issued. Batch and expiry details, controlled drug movements and low stock all feed that account.

In NXH Care every signed prescription for patients in the group appears on the pharmacy worklist. A pharmacist verifies the prescription, which records who checked it and unlocks dispensing, or rejects it with a reason that returns to the prescriber. Each item is dispensed from a named batch, with the earliest expiry suggested first. Care refuses an expired batch or a quantity above what is on hand, and a severe interaction or a documented allergy blocks dispensing unless the pharmacist records a written justification.

Stock and registers

  • Stock is counted per pharmacy. Every receipt, dispense, adjustment and transfer is written to an append-only movement ledger, so on-hand quantity traces back to its source.
  • Stock moves to another branch of the group by a transfer that is dispatched and then received, with batch number and expiry kept.
  • Supplier purchase orders are received into batches, in part or in full.
  • Low and expiring batches are flagged against reorder levels. Care does not place reorders by itself.
  • Wards can hold imprest stock with par levels. Pharmacy supplies top-ups from the earliest-expiring batch and takes returns, where the ward supply workflow is in scope.
  • The controlled drugs register is read from the same ledger, by drug, with a running balance, the batch, who acted and, for dispenses, the patient and prescriber. It is a custody view, not a layout set by a particular regulator, and Care does not record a witness. Check your jurisdiction’s requirements for registers.

Prescriptions from outside Care

Dispensing works against prescriptions written in Care within the group. Care has no intake for prescriptions from outside providers and no retail checkout. A facility pharmacy inside a clinic or hospital is the confirmed scope, and standalone pharmacy needs are assessed separately: see For pharmacies.

Illustrative example: a dispense and its stock movement

This example uses synthetic data. A doctor prescribes amoxicillin capsules for a synthetic patient, Layla Farouk. The pharmacist verifies the prescription and sees the batch with the earliest expiry suggested. She dispenses the full quantity from it. The batch’s on-hand quantity falls by that amount, and the movement ledger gains a dispense entry naming the batch, the quantity, the pharmacist, the patient and the prescriber. Had she dispensed less, the remainder would have stayed on the item as a backorder.

Common questions

  • Pharmacy and stock is included in Care Hospitals. It is available as an add-on for Care Clinics and Care Clinics Pro.

  • Yes. The pharmacy workflow dispenses directly against the electronic prescription, connecting the medicine issued with the prescribing record in Care.

  • Yes. Care tracks medicine batches and expiry dates within the pharmacy stock workflow, helping the team review the inventory context of dispensing.

  • The register is read from the stock movement ledger, so it cannot disagree with the stock count, and entries cannot be edited or deleted. It shows each receipt, dispense, transfer and adjustment by drug with a running balance. It is not formatted to a particular regulator’s register, so check your jurisdiction’s requirements.

  • The confirmed scope is a pharmacy working inside a clinic or hospital on Care. Standalone needs, such as retail sale or prescriptions written outside Care, are not confirmed and are assessed separately. See the For pharmacies page.

  • Not in the available scope. Dispensing works against prescriptions written in Care within the group, and Care has no intake for outside prescriptions.
