Keep audit evidence and documents together
Pair Flow Quality with Flow Documents. Quality covers regulatory and clinical audits and policy approvals. Documents keeps licences, contracts and other facility documents with versions, signatures and expiry dates. Your team reviews the evidence and the decisions behind it, while responsible people keep authority for approval and sign-off. Quality indicators are still being completed and are not part of the scope you can evaluate today.
Prepare the review with clearer evidence
A review needs both the assessment and the supporting records. Flow Quality handles audits and policy preparation, while Flow Documents keeps facility documents with versions, dates and signatures. Selecting both supports the related work without turning a software record into an accreditation decision.
- Review audit findings alongside the supporting document records your facility maintains for inspection preparation.
- Keep named policy preparation and approval distinct from storing licences, contracts and other facility documents.
- Use document review and expiry reminders to organise the next review of supporting facility records.
Approval sits inside each module. In Quality, a policy has a named preparer, reviewer and approver who sign at their own stages, and an audit goes to an approver. In Documents, the facility sets who can view and manage documents, and staff or outside signers sign.
Illustrative example: an infection control policy and its evidence
This example uses synthetic data.
A facility prepares an infection control policy from a category template. The named reviewer and approver sign in turn, and the approved PDF is kept with its dates. In the same period the quality team submits a hand hygiene audit, which Flow scores, and the facility keeps a supporting certificate in the Document hub with its expiry date. The team then reviews the three records together. Flow does not link a policy to an audit automatically, so the comparison is the team’s own.

The modules
-
Regulatory audits
Run regulatory audits by scope and requirement within Flow Quality. Record assessment status, photographs, required actions and the responsible team, then send the audit for approval. Keep the findings available for review without treating checklist completion as accreditation. Flow Quality is sold separately and can be paired with Documents for wider evidence management.

Clinical audits
Use ready-made clinical and safety audit tools within Flow Quality. Record observations, score the audit on submission and review results month by month. Tools cover areas including hand hygiene, patient identification, handover, disinfection and sterilisation testing. These audit workflows are distinct from the broader Quality indicators capability, which is still being completed.

Quality indicators
Still being completedQuality indicators is still being completed within Flow Quality. Discuss your indicator definitions and reporting requirements before including this capability in an implementation plan. Available clinical and regulatory audit workflows can be reviewed separately. No live quality dashboard, automated JAWDA calculation or release date is promised on this page at this stage.

Facility inspections
Keep facility visit reports, photographs, disinfection logs and room infrastructure checks within Flow Quality. Maintain room, department and layout information to support review of the premises. Use the records to prepare evidence for inspections while the responsible team assesses actual conditions. Equipment maintenance and calibration records belong to the separately selected Flow Assets module.

Policies and procedures
Prepare, review and approve policies through named, signed stages in Flow Quality. Use category templates, maintain issue and review dates, and keep policy PDFs with their approvals. Staff can request changes and the change log retains history. This workflow supports policy revision but does not record staff acknowledgement that they have read the policy.
