Connect staff records with salary approvals
Bring Flow HR and Flow Payroll together so salary preparation starts from the staff records your team maintains. Flow Payroll cannot run without Flow HR, so a facility that needs payroll selects both, while Flow HR can still be used on its own. Manage onboarding, attendance, shifts and leave, then review salary components and adjustments through staged approvals.
Keep people and payroll in context
Payroll decisions depend on the staff information behind the run. Flow HR maintains the workforce record, while Flow Payroll handles salary calculations and the approval sequence. The pairing lets HR and finance evaluate those responsibilities together without assuming payment execution is included.
- Maintain staff documents, onboarding information and attendance records before reviewing the salary workflow with finance.
- Review salary components, approved overtime, loans and advances as part of the payroll calculation.
- Follow HR, finance and final approval before marking the run paid and reviewing its register.
Illustrative example: from attendance to approved salary
This example uses synthetic data.
A nurse’s clock-in punches are synchronised from a supported fingerprint terminal, and HR approves one day of unpaid leave. When the salary run is prepared, Flow Payroll reads the attendance summary, adds approved overtime and the monthly loan instalment, and deducts the unpaid day. HR reviews the run first, then finance, then a final approver. The run is then marked paid and the payroll register shows the result.
Marking a run paid does not transfer money.

The modules
-
HR and workforce
Bring onboarding, staff documents, attendance, shifts and leave into NXH Flow HR. Maintain one record per person and export staff or attendance information to Excel when needed. Attendance syncs from ZKTeco fingerprint terminals through a bridge program, or loads from an Excel file. Payroll is selected separately and requires Flow HR to provide the underlying staff records.

Credentials and licences
Keep professional licence numbers, authorities, expiry dates and copies on the staff record in Flow HR. Store passports and verification reports alongside them, remind staff before expiry and record renewal details. This supports credential administration while the facility remains responsible for checking eligibility and the validity of the evidence it holds.

Payroll
Prepare salary runs from Flow HR records, with salary components, approved overtime, loans and advances. Follow HR, finance and final approval before recording paid status, and review the payroll register with finance. Flow Payroll requires Flow HR. Payment itself is made outside Flow.

Common questions
-
Flow HR can be bought on its own. Flow Payroll is selected separately but requires Flow HR, so it cannot operate as an independent module without HR.
-
An approved run or recorded paid status is not a promise of payment execution. Confirm the facility’s bank transfer process separately during implementation planning.
-
Flow supports ZKTeco fingerprint terminals that connect over TCP/IP on port 4370, through a small bridge program on a PC on the same network. Attendance can also be loaded from an Excel file. Other device brands are not currently listed as supported, so check your model with the team.
-
Bring a sample staff record, salary structure and overtime or advance example. Follow the calculation, approval sequence and payroll register with both HR and finance.
