Team scheduling

NextHealth Engage

Included in Engage core

NXH Engage team scheduling connects practitioner availability with the services each person performs. Set working hours, block leave and absences, and assign the service categories each practitioner covers, so booking availability reflects the team. Tasks and My day give staff a view of their own work for the day. Eligibility here is an organisational scheduling rule: it does not verify a licence or authorise treatment, and the clinic keeps that responsibility.

What your team can do

  • Set the working hours for each practitioner.
  • Block leave and absences from the booking calendar.
  • Assign the service categories each practitioner covers.
  • Offer a service only with practitioners assigned to its category, who are working and free.
  • Give staff their daily tasks through My day.
Why it is hard to do well

An open appointment needs the right practitioner behind it.

Build the schedule around real practitioner availability

A booking needs both a suitable time and someone available to deliver the service. Working hours, leave and the services a practitioner covers all affect that decision.

How a practitioner is matched to a service

Each service belongs to a service category, and each practitioner is assigned the categories they cover. The calendar and the online booking page offer a service only with practitioners whose categories include it, who are working at that time, who are not on leave or booked, and when any room or device the service needs is free. A practitioner assigned no categories is treated as able to perform every service, so assign categories to restrict them.

What is recorded, and who keeps it up to date

Engage records working hours, leave and absence blocks, the categories each practitioner covers, a title and, if the clinic wants one, a public profile for online booking. People with access to the staff screen maintain it. Engage does not record licence numbers, expiry dates, privileges or the outcome of a check with a regulator or professional body, and it does not stop a treatment because of a credential. Scheduling eligibility is the clinic’s own rule. It is not verification of a qualification or authorisation to treat, and no connection to NXH Flow records is claimed here.

Illustrative example: offering an available practitioner

This example uses synthetic data.

A clinic offers laser hair removal and facials. Sama Idris, a made-up practitioner, is assigned the laser category, and Ali Rahim is assigned both. Sama works Sunday to Thursday and has a leave block next Tuesday. A client asks for a laser appointment next Tuesday, and Engage offers Ali only, because Sama’s leave is blocked. Another client books a facial, and Sama is not offered because she is not assigned that category. On the day, each of them sees their own tasks in My day.

Common questions

  • Team scheduling is included in Engage core, which comes with every Engage licence. Related billing, campaign or connection capabilities depend on the add-ons selected.

  • Leave and absence blocks close the relevant availability, helping the calendar reflect when the practitioner can actually take appointments in the clinic.

  • Yes. Each practitioner is assigned the service categories they cover, and a service is offered only with practitioners whose categories include it. A practitioner with no categories assigned can perform every service. The clinic remains responsible for verifying and maintaining the qualifications behind those assignments.

  • Tasks and My day give staff a list of their own work for the day, alongside the team scheduling arrangements maintained by the clinic.

  • No. Engage records working hours, leave and service categories, and uses them to offer appointments. It does not store licence numbers or expiry dates, check a regulator or professional body, or stop a treatment. The clinic verifies qualifications and authorises treatment outside Engage.
